Documents and compliance

Export document chain

Shipments usually get stuck on paperwork. A missing document, a wrong HS code or an unnoticed regulation change holds the load for days, and it is usually spotted too late.

Steps it covers on your map

  1. Document set
  2. Broker and customs declaration
  3. File closing and archive

What it does

  1. Builds the document list for the target market

HS code matching, tariff and quota checks, and the document set required: certificate of origin, movement certificate (EUR.1 or A.TR), certificate of conformity, analysis report. When the product or the route changes, the list changes with it.

  2. Catches what is missing before the shipment

The check runs while the load is still being planned. A missing document shows up while it is still on the desk.

  3. Tells you when regulation changes

What changed for your HS codes and your routes, and what you need to do about it. It does not send out a general bulletin.

  4. Keeps the archive auditable

Which document sits in which file, when it was produced and by whom. An audit asks for a document's trail, and the archive holds that trail.

Declaration liability stays with the broker

Legal liability for the declaration stays with your customs broker and with you. The line prepares the paperwork behind the declaration, complete and consistent. The diagnostic report and the sales conversation draw the same line.

The gap your ERP leaves

The document chain looks outside the company: destination-country regulations, the customs broker's requests, the buyer's letter of credit terms. An ERP faces inward, so this data never forms there. The document chain produces it and writes it into the ERP under the same reference.

What gets measured

  • Number of shipments held at customs or at the port

  • Time it takes to prepare a document set

  • Share of documents that had to be reissued

Tier and quote

This line is quoted as one of the Build tiers on the method page. The number of systems, decisions and owners in scope sets the tier. The final figure is written as a single number at the end of the System X-ray.

See the tiers

Before we start

  • The HS code list gets collected into one source. If it is scattered, that is the first job and the line is built after it.

  • A company working with one market, one product and a few shipments a year starts at the checklist tier.

Your map first

We do not guess the gain. The foreign-trade process map draws your operation in nine questions and marks the box eating the most time. Which line we discuss follows from there.
